Payment Policy

1) Introduction
At COMOTO CATERING, we are committed to providing a clear and transparent payment experience for all customers purchasing our professional catering equipment. This Payment Policy explains how and when payments are made, which methods we accept, how quotes and pricing work, and what you can expect at each step of the transaction.

By placing an order with COMOTO CATERING, you confirm that you have read, understood, and agreed to the terms outlined in this Payment Policy.

2) Accepted Payment Methods
To keep transactions secure and traceable, COMOTO CATERING accepts the following payment methods:
- Electronic Funds Transfer (EFT)
- Direct bank deposit

We currently do NOT accept:
- Credit or debit card payments
- Cash payments
- Cash on delivery (COD)
- Cheques

All payments must be made in full and in advance before we process or dispatch any order.

3) Payment Timing and Order Processing
Payment is due in full at the time you confirm your order.

Your order will only be:
- Confirmed
- Reserved in our system
- Processed for dispatch

once we have:
1. Received a valid proof of payment (POP), and
2. Confirmed that the funds have cleared in our bank account.

Please always use your Quote Number or Pro-forma Invoice Number as the payment reference. This helps us match your payment to your order quickly and avoid delays.

4) Proof of Payment (POP)
After making payment via EFT or bank deposit, please send your proof of payment to our official email or WhatsApp number listed below. A clear POP should include:
- Your full name or business name
- The amount paid
- Date of payment
- Our bank details as the recipient
- The correct payment reference (Quote or Pro-forma Invoice number)

If the reference is missing or incorrect, your order may be delayed while we verify the payment.

5) Pricing, Quotes and Validity
All prices are listed in the local currency and are based on current supplier costs and market conditions.

Important points about pricing and quotes:
- Quotes are valid only for the period stated on the quote document.
- After the validity period expires, prices may change without prior notice.
- COMOTO CATERING reserves the right to adjust prices in cases of supplier increases, currency changes, or obvious clerical errors.

If a price needs to be updated after you receive a quote but before you make payment, we will inform you and issue an updated quote for your approval.

6) Stock Availability and Special Orders
Some items may be available from stock, while others may be ordered specially from our suppliers.

- In-stock items: Processed for dispatch once payment has cleared.
- Special or custom orders: May have longer lead times, which will be communicated to you before you confirm your order.

In cases where an item becomes unavailable after payment, we will contact you to discuss alternatives, back-order options, or a refund.

7) Currency and Bank Charges
All payments must be made in the currency stated on your quote or invoice.

If you are paying from a bank outside our country:
- You are responsible for any bank charges, transfer fees, or currency conversion costs.
- The full invoiced amount must reflect in our account. Short payments due to bank fees may delay your order until the outstanding balance is settled.

8) Late or Failed Payments
If payment is not received within the validity period of the quote or by the agreed date:
- Your order may be cancelled or delayed.
- Stock availability and pricing may change.

If a payment fails, is reversed, or is flagged as suspicious by the bank, we may place your order on hold until the issue is resolved.

9) Invoices and Documentation
Once your payment has been confirmed and allocated to your order, COMOTO CATERING will issue an official invoice.

You are responsible for keeping copies of:
- Quotes
- Pro-forma invoices
- Final invoices
- Proofs of payment

These documents may be required for warranty claims, returns (where applicable), or future reference.

10) Security and Fraud Prevention
To protect both our customers and our business, COMOTO CATERING may perform additional verification checks on certain payments, especially for high-value orders.

We reserve the right to:
- Request additional identification or company documents
- Confirm details with the account holder or business
- Decline or cancel an order if we suspect fraudulent activity

11) Changes to This Payment Policy
COMOTO CATERING may update this Payment Policy from time to time to reflect changes in our processes, banking partners, or legal requirements.

Any updates will apply to new orders placed after the revised policy is published on our website. We encourage you to review this page regularly to stay informed.
